Rental and Procedures:

  1. Please call first to inquire about the availability of the various venues (excluding the Library and Video Center). After our colleague verifies with our system and a reservation has been made, please download the Venue Rental Application Form. After filling out the form, you may send this to us through fax or e-mail for review and processing.
  2. After review and approval by the HAC, our colleague shall notify the applicant by phone to pay the fee (including the site usage fee and the deposit) at least 5 days before the start of the event. The depositor should, on paying the fee, indicate the name of the applicant or the name of the unit in the remark column of the deposit slip, and please do not pay the security deposit on behalf of another person.
  3. The HAC will issue a receipt for the venue usage fee and security deposit and send this through mail to the applicant. If the applicant is a long-term rental venue user, the amount of security deposit may be carried over to succeeding rental to avoid repaying the deposit.
  4. After the event has ended, the venue rental applicant may download the Security Deposit Refund Application Form. Fill this out and attach a photocopy of the bank book (must have the same name as the applicant), the original receipt of the security deposit, and send these by registered mail for the refund.   5. For the refund of the security deposit, the HAC will complete the refund within 2 weeks after receiving the refund application letter and approval. The applicant will be asked to submit additional documents if the information is incomplete.

Notes on Venue Rental 2020:
Hakka Affairs Commission, Taipei City Government- Latest News - (Announcement) Start of Venue Reservations for 2020 (Hakka Culture Hall, Art and Culture Center, Library and Video Center), please follow the instructions below:
  1. In order to enhance our purpose of promoting Hakka language, arts and ballads, as well as culture, the HAC Hakka Education Center’s affiliated groups shall be given priority access to the venue. Applications must be submitted beginning October 2 to November 15 and please refer to the holidays for 2020 (see Attachment 1). To facilitate the arrangement of classes of the various associations, please refer, as much as possible, to the previous 2018 venue usage for your application. If you miss the deadline for your submission, we will assist you based on availability.
  2. When the affiliated groups of the HAC’s Hakka Education Center (which have been approved by this HAC) apply for the use of the venue, a water and electricity fee of NT$200 shall be charged per use in accordance with the Venue Fees Collection Benchmark, in order to help in the maintenance of the venue.
  3. In response to the Hakka Cultural Park renovation this year, application from the affiliated groups of the Hakka Education Center shall be accommodated in other venues of the HAC. Priority will also be given to providing a fixed location and flexibility of the class schedules. Other associations, counseled by the HAC, shall follow this pattern in coordinating their venue application.
  4. The use of the venue for Hakka language teaching, arts and culture promotion, etc., shall enjoy a fee reduction. Based on the 2019 processing method, for organizations who have applied to use the various venues more than once, the basic venue fee shall be waived and the water and electricity shall be charged NT$200 per use, for the maintenance of the venue. This is in accordance with Section 3, Paragraph 1, Article 5 of the Venue Fees Collection Benchmark. Other fee scenarios, such as the use of the venue for more than 12 consecutive times, co-organized and the City’s related agency (school), shall comply with the Venue Fees Collection Benchmark.
  5. The rental and use of the venue for 2020 is expected to begin on November 15, 2019. Acceptance of applications from citizens and organizations for long-term rental shall begin on November 29, 2019. If there are conflicts on time and venue, this will be settled on December 5, 9 am through a lottery, to confirm the unit who will use the venue (results will be notified individually). Acceptance of applications for 2020 short-term rental shall start on December 10, 2019.
